A work order generator makes the paper for you. This one does not fill in a single job; it prints a stack of blank work orders, each with its own number, so that every technician in the van has a pad with a unique number on every sheet. You choose a prefix such as WO or the initials of your company, the first number of the series and how many forms you want. The tool produces one PDF with one form per page.

Use it when the work is written by hand: a plumber on a roof, a gardener with wet hands, an installer who does not want to hold a phone. If you would rather fill the form in on a screen, with photos and a signature, use the work order template instead.

How to make a pad of work orders

  1. Type your business name if you want it printed under the title. It is optional.

  2. Set the prefix. Two to four letters work well, for example WO for work orders or PL for plumbing. The prefix is printed in capitals.

  3. Set the first number. If your last pad ended at 0150, enter 151. The numbers are padded to four digits: 0151, 0152 and so on.

  4. Set how many forms you need. The preview line under the fields shows the first and the last number, so check it before you download. One file holds up to 500 forms.

  5. Choose the paper size. US Letter is the default on this page; switch to A4 if your printer uses it.

  6. Press Download PDF of blank forms and print it. Print single sided if you want to keep a carbon copy or a photo of each sheet.

  7. Keep a note of the last number you printed, and start the next series after it. The page remembers your last settings on this device.

  8. Check the first printed page for the margins on your printer. If the printer cuts off the border, print at actual size and not fit to page, and choose the paper size that matches the paper in the tray.

What does a printed work order contain?

Each page has the title and the number at the top, then ruled boxes for the customer, the date, the phone number, the technician, the job address and the PO or job number. Below are two large boxes, one for the work requested and one for the work performed, a parts table with quantity, description and unit price, a box for labour hours and one for the total, and two signature boxes at the bottom for the technician and the customer.

The layout is the same on every page and only the number changes. The footer has a small line with the site name and the page count; it does not take space from the boxes.

Why number work orders?

A number turns a loose sheet into a record. When a customer calls about job 0153, you find the sheet in seconds. Gaps in the series show a sheet that was lost or never used. Two copies with the same number are a sign that someone printed the same range twice, which is why each pad should start where the last one ended. The generator only counts; it does not know what you printed before, so keep your own note of the last number.

How many forms should I print at once?

A van carrying a pad of 25 to 50 sheets is common. Printing 500 is possible, but a long series is bulky and the file takes a moment to build. Print what a team uses in a month and start a new series from the last number.

Can I add my logo or change the boxes?

Not in this version. The boxes are fixed so that every form prints cleanly on A4 and Letter. A logo on the sheet and your own field names are on the list for the planned Pro version, described on the app page.

Frequently asked questions

How many work orders can I generate at once?

Up to 500 in one PDF. The tool stops at 500 and the preview line shows the first and last number of the range.

Does the generator save my numbers?

Your last prefix, first number, count and paper size are kept in your browser on this device, so the next pad starts from your usual settings. Nothing is sent anywhere.

Can I print two work orders on one page?

Not yet. One form per page keeps the boxes large enough to write in. Print the PDF two pages to a sheet from your PDF viewer if you want half-size copies.

What prefix should I use?

Anything of up to eight letters or digits. Many teams use WO. If several technicians use their own pads, give each a prefix, for example WO-A and WO-B.

Do the blank forms have prices?

They have a parts table with a unit price column and a labour and total box that you fill in by hand.

Can I print the forms two-sided?

Yes, but the back is empty. Print single sided if you keep carbon copies, or use the back for notes.

Can I add my own fields to the printed form?

Not in this version. The extra fields on each page of this site are listed on the form: the PO or job number is included.
